Guidelines for Exhibitor Participation
This is
the Application form and Guidelines for Exhibitors at Rainbow
Festival 2008. If you plan to sell food of any kind, or are a
non-profit organization, please note the addendums for Food
Exhibitors and/or Non-Profit Exhibitors. Please read the following
information carefully as there are some changes to the application
process this year.
None of the following are to be sold, displayed, distributed or
otherwise present at the event without the express written consent
of the Rainbow Festival Executive Director: Bottled Water, Third
Party Sponsorship, National Corporations/Franchises, amplified
sound, generators, and personal lubricants.
Booth
Space
Exhibitor spaces are rented out in 10 ft. x 10 ft. squares. . If
desired, up to three booth locations can be combined (30 ft. x 10
ft. – see following note). No tent or structure may exceed 15 ft. in
height or 30 ft. in length. Rainbow Festival only provides the
space. You must provide your own tables, chairs and equipment.
Optionally, we offer table and chairs for rent. You are permitted to
use your own tent or booth structure in your space as long as it
fits in the space that you have paid for. Canopies (open or
enclosed) are available for rental, for an additional fee.
Business/Organization Description
On
the application, please supply a brief description of your business
and what you plan to sell at your location. For first time
exhibitors, please include with your application a photograph of
your booth and of the merchandise that you plan to sell. Photographs
will be returned after the event only if you provide a
self-addressed, stamped envelope.
Cancellations
You may cancel your exhibitor application at any time up until 5pm
on Friday, August 15th, and expect a refund of all fees paid, minus
a 20% processing fee, within four weeks following the event.
CANCELLATIONS MADE AFTER 5PM ON Friday, AUGUST 15th WILL NOT BE
REFUNDED. Additionally, EXHIBITOR "NO-SHOWS" ON THE WEEKEND OF THE
EVENT WILL NOT BE REFUNDED. Any assigned spaces not checked-in and
occupied by the Exhibitor by 9:30am on the day of the event will be
subject to resale by Rainbow Festival. Providing there is adequate
additional space, the original Exhibitor maybe reassigned, but under
no circumstances will a refund be made.
Confirmation
Packets
Confirmation packets will be mailed out by August 15th for
applications received prior to the deadline. For applications
received after the deadline, confirmation packets will be mailed as
soon as possible after receipt.
Contract
Please read carefully the contract on the application and sign and
date in the spaces provided.
Premium Location
A
limited number of premium location spaces are available for an
additional fee. They are available on a first-come, first-served
basis only. Please see the site map for these locations. Before
submitting your application for a Premium Space, you must receive
approval from the Rainbow Festival Vendor Coordinator.
Deadlines
The application deadline is 5pm on Friday, August 15th. Applications
will be accepted after the deadline however late applications have
no guarantee of accommodation.
Deposit
A deposit will be required from all businesses that are
participating in Rainbow Festival. The deposit will be $50 for all
applications received by August 15th and $100 if received after
August 15th. This deposit will be returned to you at the end of the
event provided that you have complied with all of the exhibitor
policies outlined in your confirmation packet.
Electrical
An electrical connection of up to 15 amps can be provided for an
additional fee. The locations for which power can be supplied are
limited and are available on a first-come first-served basis only.
Please enclose a list of your electrical needs with your
application. A regulation fire extinguisher must also be provided at
booths with electricity. If the installation fails to comply with
applicable fire and other codes, the exhibitor may be relocated or
expelled from the event. Any exhibitor renting electrical
connections is subject to relocation based upon logistics of
providing services.
Event Schedule
Rainbow Festival Street Fair 2008 is a one-day event, held on Sunday
August 31st from 10am – 6pm.
Insurance
All exhibitors must provide proof of insurance. It must be a
Certificate of Insurance for General Liability, in the amount of
$1,000,000 (one million dollars) naming Rainbow Festival and Court
of the Great Northwest Imperial Empire, Incorporated as additional
insured. Your existing insurance policy is usually sufficient. If
you have any questions, please contact us.
Noise Level
As a courtesy to other exhibitors, amplified sound from your booth
is prohibited.
Payment
Payment, including any applicable deposits or other fees, is to be
made in full, by credit card (American Express, VISA or MasterCard
ONLY - please fill out the credit card information requested on the
application), check or money order (made out to RAINBOW FESTIVAL)
only. Do not send cash. Partial payments will not be accepted. No
receipts will be issued, as your canceled check, money order or
credit card statement is your receipt. All checks must clear the
bank upon first presentation or you may be barred from participation
on the day of the event, without prejudice to any other rights or
remedies available to Court of the Great Northwest Imperial Empire
Incorporated. No personal or business checks will be accepted after
August 25th. Only credit card payments, cashier’s checks or money
orders will be accepted after August 25th. Full payment and all
required paperwork must accompany your application for it to be
considered complete. Incomplete applications will be returned to
sender, hindering your eligibility for available spaces. Post-dated
checks are not accepted. For credit card users only: you may fax
your completed application to 916-448-2000. Be sure to fax a white
paper copy of the application as well as a photo copy of the front
and back of the credit card and government-issued I.D. of the
cardholder. Rainbow Festival is not responsible for non-delivery by
the Post Office or non-receipt by fax.
Placement
Exhibitor spaces are available on a first-come, first-served basis.
Rainbow Festival reserves the sole right to place vendors in any
location that Rainbow Festival deems appropriate. If you need
special placement because of ADA accommodation requirements, please
contact the Rainbow Festival Vendor Coordinator before submitting
your application.
Product
Exclusivity
Product exclusivity is granted only to those companies that pay an
exclusivity fee established by Rainbow Festival organizers. Please
call the Rainbow Festival Executive Director for details. Rainbow
Festival reserves the sole right to determine who will be granted
exclusivity and also to determine the number of businesses who vend
similar products and/or services at the event. If you wish to
sell/distribute Personal Lubricants please
contact the Rainbow Festival Director.
Rates
The rate schedule is on the application form. Please select the rate
that best matches the description of your business.
Trademarks
Court of the Great Northwest Imperial Empire Incorporated, FACES
Incorporated, and Myron A. Sidie reserve the exclusive right to the
use of its logos, name, marks, symbols and other intellectual
property. Any use of these without express written permission is a
violation of the agreement with Court of the Great Northwest
Imperial Empire Incorporated, and will result in expulsion from the
event.
